What does the role involve 

 We have an exciting opportunity for a Corporate Services HR & Governance Administrator to join our team. Reporting to the Chief of Staff in the Office of the CEO, this exciting new role has been created to support OTA leadership and operations in the area of human resources, policy and governance administration, as an important part of our thriving and healthy culture. This role is based in our National Office in vibrant Fitzroy, Melbourne supporting our hybrid work workforce. 

What we need in the role 

You are an organised and efficient administrator, who can implement polices and procedures, identify improvements and support our team to do what they do best. You are service minded, have a high attention to detail, adherence to deadlines and ability to maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business. 

The team  

You’ll be part of the Office of the CEO Team which consists of Corporate Services and the support functions and management of the Office of the CEO.  Your role will also see you consistently interact with our Senior Leadership Team and Managers, Board and committees as well as several other stakeholders across the business and our consulting partners providing opportunities for constant interaction and access to all of the information you need to be successful in the role and support our people. 

What responsibilities form part of this role? 

  • Support managers and ensure all HR processes are implemented in line with OTA strategy to deliver results through people 
  • Maintain, review and propose systems, policies and procedures to improve the efficiency of OTA’s corporate services and ensure the organisation is meeting its regulatory compliance and legislative obligations 
  • Support the implementation and development compliance process across the organisation 
  • Maintain and develop the Awards and Grants program 
  • Support the Corporate Services function to drive change management interventions and streamline implementation of various business initiatives.

Requirements

Specific skills/qualifications needed 

Qualifications required: 

  • Tertiary qualification in HR, business, governance or related discipline or undertaking, OR equivalent practical experience, e.g. exposure to HR or Governance tasks as a component of a broader Administrative role   

Experience required will include: 

  • Excellent communication and interpersonal skills, with demonstrated ability to develop and maintain strong and cooperative relationships with internal and external stakeholders 
  • Superior organisational and time-management skills with an ability to manage and coordinate a range of administrative functions and projects 
  • Demonstrated ability to work proactively, with minimal supervision and direction and as part of a team 
  • Demonstrated ability to source and analyse information to develop professional documents and reports 
  • Exceptional computer literacy skills particularly in Microsoft Office and maintenance of databases and filing systems 
  • Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems
