Flexible Part-time role

The Internal Medicine Society of Australia and New Zealand Limited (IMSANZ) is a Professional Association representing around 1,000 Consultant Physicians and Trainees in Internal Medicine within Australia, Aotearoa New Zealand and the Pacific region.  We are looking for a Member Services Officer to join our growing team.

We know that managing work and your personal life commitments is a challenge and finding a position that can balance both is rare. We offer a hybrid part-time position in our team with the opportunity to negotiate the hours and days that suit you. This is a three day a week, part time role (0.6 FTE / 22.5 hours per week) with flexibility in the days. 

The Role

Reporting to the Chief Executive Officer, the Member Services Officer will implement approved administrative procedures and policies that relate to the activity of the IMSANZ Board (including the IMSANZ Council, its committees and working groups).

The main objective of the role is to grow the membership base, increase member retention and to provide general administrative assistance to the Society. The Member Services Officer will positively influence the member experience. They will offer information, promotion and assistance to members, trainees, prospective members and others clients who make inbound contact with the Society.

Membership Management

  • Act as the first point of contact to provide information to members, trainees, prospective members and the general public about IMSANZ (phone, email, mail, website).
  • Coordinating the IMSANZ membership engagement strategy; including the member onboarding process, liaising with new members at sign up and at regular intervals throughout the membership cycle.
  • Managing and maintaining the member database, and generating membership reports as required.
  • Processing membership renewals, payments and receipts, and following up upcoming/overdue payments.
  • Liaising with RACP trainees in General and Acute Care Medicine, and other potential members, to promote IMSANZ and encourage membership.

Website and Communications

  • Providing support for the introduction of a new website using the iMIS system; including updating page content, uploading files and creating forms.
  • Regularly updating the society website, including job vacancies, event listings, news and information for members.
  • Coordinating the member communication cycle and marketing collateral, including the preparation of the society newsletter, eNews bulletins, social media and event communications.
  • Responsible for the management and maintenance of the email distribution lists for the Society.


  • Supporting Special Interest Groups (SIGs) & committees, including booking meetings, compiling and preparing documents, reports, meeting agendas, minutes and communiqués.
  • General administrative tasks, including written correspondence and preparing reports.
  • Assisting in the management of projects under the direction of the Chief Executive Officer.
  • Any other tasks or responsibilities as and when required to support the Chief Executive Officer to achieve the Society’s mission.


About the Person

  • Tertiary qualification or equivalent is preferred in relevant discipline.
  • High level computer literacy in MS Office Suite and significant experience with data entry and CRM applications.
  • Experience working with Boards and/or Committees in a membership-based organisation.
  • Excellent customer service and engagement skills with the ability to build rapport and liaise with stakeholders at all levels.
  • Demonstrated ability to problem solve and provide accurate advice within a dynamic member focussed environment.
  • Excellent oral and written communication skills including the ability to deliver complex information in a clear and concise manner.
  • Strong organisation skills and the ability to prioritise and complete tasks within given deadlines.
  • The ability to work without close supervision, as a member of a team; be enthusiastic and self-motivated; contribute ideas and collaborate in their implementation.
  • Excellent administrative skills, particularly with respect to accuracy and attention to detail.
  • Personal attributes of professionalism including maintaining confidentiality, integrity; sound judgment; commitment to quality service.
  • Flexibility and willingness to undertake a range of tasks and an ability to respond to changing workloads.
